What to do if you want to stand
Step by step guide to running in the elections
We understand that there’s lots to think about when you’re running in Union elections, so to make it that bit easier, we’ve produced this step-by-step guide so you can see everything you’ll need to do.
Before nominations close
• Look through the list of the positions available in the elections, read through the role descriptions and decide which roles might be best suited to you
• Attend one of the ‘What Am I Letting Myself In For?’ drop-in sessions (the week commencing Mon 1st Feb) delivered by the Union to discuss what the roles involve and to get a better idea of whether you’d like to run for one of them
• Pick up a nominations pack (available from Union and campus receptions, school offices or from the above session)
• Decide which position you’re running for
• Fill in the candidate details and start collecting your nominations from current students
• Read through the elections bye-law
• Start getting together some ideas for what to include in your manifesto (see the guide to writing a manifesto) and write a first draft
• Put together some initial publicity designs based around your manifesto
• Attend one of the ‘Preparing for Nominations Deadline’ sessions (the week commencing Mon 8th Feb) delivered by the Union to make sure you’re on top of everything and to get a second opinion on your manifesto and any publicity you’ve started to design
• Produce the final draft of your 250 word manifesto, get someone to proof read it for you and email this to Delores.Williams@wlv.ac.uk
• Produce a final draft of your publicity materials and decide what formats you would like these produced in (recording this on your nomination form)
• Double check you have enough nominations (plus extra just in case) for the type of position you want to run for.
• If you’re running for an officer trustee position get a leave of absence form (either from your school office or e:Vision) and complete the trustee declaration form)
• If you are an international student running for an officer trustee position make an appointment to see the Students’ Union’s International Advisor before the nominations deadline.
• At a Students’ Union reception hand in a completed Nominations Form, one passport sized photo, £10 deposit and a hard copy of your publicity materials. In addition to this, if you’re standing for an officer trustee position, hand in your leave of absence form and a completed trustee declaration form.
• Make sure you get a receipt for the above.
After nominations close
• Book yourself an appointment to record your 2 minute video manifesto (optional). These can be booked from Mon 1st March through Jayne on the Activities Centre help point on (01902) 322037. The appointments will be for Thursday 4th March and are on a ‘first come first served’ basis.
• Try to make sure you’ve got as much Uni work out of the way as possible so you can concentrate on campaigning.
• Attend the Candidates Meeting (3.30pm on Friday 5th March 2010 in the City SU Training Room) to be briefed on elections regulations, collect your Union-produced publicity and ask any questions you might have.
• Decide if you’ll be having a campaign team to help promote you during the election. If so talk to some friends and find out who’ll be willing to help you.
Once campaigning has started (from 5pm Fri 5th March)
• Prepare your speech for Candidates’ Question Time and responses to any questions you think you might be asked.
• Decide what extra publicity you might want to produce with your own money (maximum spend of £40).
• Get quotes for any extra publicity and send quotes and designs to the Democracy Support Officer (hazel.monger@wlv.ac.uk), based in the Activities Centre, for approval.
• Produce/buy extra publicity
• Take publicity and receipts to the info desk in the Activities Centre for extra spend to be registered and publicity to be stamped (no later than 12 noon on Thursday 11th March)
• Register your campaign team with the Deputy Returning Officer (m.knight@wlv.ac.uk) by 12 noon on Thursday 11th March.
• Attend Candidates’ Question Time in MC301 7pm Thurs 11th March
• Familiarise yourself with the ballot station schedule and organise your campaign team, making sure they’re briefed on elections regulations (i.e. bye-law) and they know which area to campaign in.
• Campaign, put up posters (having received permission), hand out leaflets and talk to students to ask them to vote for you.
• Campaign on voting days (make sure there are no more than two of your campaign team at each voting station).
Once voting has finished (from 4pm Thurs 18th March)
• Catch up on some sleep!
• Pop in to see the count (optional) in the Lounge, City SU, from 10am on Friday 19th March
• Attend the results announcement (8pm onwards in the Lounge, City SU).
